ClubFest Terms and Conditions

 

  • Bookings after Friday 4 April 2025 may not be pitched within a Region or Division block.
  • All events are run under The Caravan and Motorhome Club Bye-Laws.
  • The Caravan and Motorhome Club reserves the right to make alterations to the published Event programme where necessary.
  • If applicable, pre-event campsite and Post-event campsite options are only available when purchased with a ClubFest 2025 weekend pitch.
  • For safety, drones and remote controlled flying toys are not permitted at the event.
  • Drinking of alcohol is allowed in licensed areas. Your own drinks and food are not allowed into the bar areas.
  • Under 18’s remain the responsibility of their parents or carers at all times. Welfare wrist bands for emergency contact details are available for children.
  • Dogs must be kept on a short lead at all times. Certain areas and marquees will be marked ‘out of bounds’, with the exception of assistance dogs. Time restrictions will apply to marquees due to increased numbers inside.
  • You are not permitted in areas designated ‘out-of-bounds’, please keep out of unoccupied marquees and other designated areas.
  • The Central Park and Arena is out of bounds to all vehicles and bicycles. 
  • A 5 mph speed limit will be in operation at all times.
  • Please consider other attendees at all times. The event is ‘quiet’ and The Central Park and Arena area is closed between 23:30 and 07:00. Vehicle movement is restricted to emergency situations between 23:00 and 07:00.
  • Open fires are not allowed, other than purpose made barbeques – all barbeques must be raised off the ground.
  • Failure to adhere to Terms and Conditions could result in eviction from the event without refund.

Event Documents and Delivery

  • Should you have not received your booking documents by Friday 2 May 2025, please call us on 01342 33 66 66.
  • No booking documents will be posted after Friday 2nd May 2025; they will be ready for collection at the Blue entrance gate.

Arrivals and Departures 

  • Pitches will be available from 8am Friday 23 May 2025.
    (Or 8am Thursday 22 May 2025 if purchased an additional night on a premium hardstanding pitch).
  • No arrivals will be admitted without the booking confirmation.
  • Arrivals after 10pm will be parked in a holding area and pitched the following morning.
  • Pitches must be vacated and outfits clear of the site by 1pm on Tuesday 27 May 2025 unless additional night has been added. Additional Night Pitches must be vacated and outfits clear of the site by 1pm on Wednesday 28 May 2025.
  • Power to all pitches, including those who have paid for the additional night, will be turned off at 1pm on Tuesday 27 May 2025.

Pitching

  • The Caravan and Motorhome Club reserve the right to provide an alternative pitch/block to those specified on your booking confirmation providing it is similar to and of no less value to that stated on your booking
  • In the event that your pitch location is changed or modified due to circumstances beyond the events reasonable control the lead booker will be notified as soon as is reasonably practicable.
  • Pitches will measure 11 metres x 10 metres and include space for either one caravan or motorhome, awning and one car.  Maximum occupancy of 8 people.
  • Tent pitches will measure 8 metres x 8 metres and include space for a tent only. Vehicles will not be parked on the pitch. Maximum occupancy of 8 people. No Electric Hook-up will be provided.
  • ​​​​​​​Campervan/Trailer Tent pitches will measure 9 metres x 6 metres and include space for a campervan and an awning only or a Trailer Tent and a vehicle. Maximum occupancy of 8 people.
  • Additional vehicles will be charge £45 and parked in a designated car park
  • A Standard pitch has a 6 amp electric hook up. All Pitches have access to water and waste service points. 
  • Power to pitches, including those who have paid for the additional night, will be turned off at 1pm on Tuesday 27 May 2025.
  • Utilities may be subject to temporary loss of supply beyond our control and the organisers will endeavour to fix these as soon as possible.
  • It is recommended you have portable water containers to collect water from the service areas particularly for those in Motorhomes. Vehicle movements on site may be restricted in inclement weather.
  • Your own sanitation is essential as there are no permanent toilets or shower blocks on the standard pitches.
  • The Tent dedicated pitches are for Tents without their own sanitation. These pitches have dedicated access to temporary showers and toilets. There will be no EHU available in these pitches. Glamping pitches will have access to EHU, toilets and showers.
  • Blue badge pitches must display a blue badge at all times.

 Payments, Refunds and Cancellations

  • If you make your booking before 5 February 2025, a deposit of 50% of the booking price must be paid to secure your booking and we must receive payment of the balance of the booking price no later than 6 February 2025. We will email a reminder for final payment and link to the online payment system before the final payment is due, but if you do not receive this reminder you are still responsible for making the final payment on time.
  • If you make your booking after 5 February 2025, you must pay the full booking price when you make your booking.
  • If we do not receive payment due in full and on time, we reserve the right to treat your booking as cancelled by you.
  • Cancellations made before Friday 4 April 2025 will be refunded minus an admin charge of £40.00 per booking.
  • Cancellations made after Friday 4 April 2025 can not be refunded.
  • All cancellations must be confirmed via email to popupsites@camc.com
  • Cancellation charges also apply to all ‘add-ons’ including, if applicable, Additional Night, Additional Vehicle and Additional Adults.
  • Cancelled pitches cannot be resold by the member and no resale of pitches is permitted by the member.

Risks and Responsibilities

  • All persons attending Clubfest do so at their own risk and no responsibility for persons or property is accepted by the Caravan and Motorhome Club.
