Centres privacy notice

This privacy notice is for Caravan and Motorhome Club members who have joined or wish to join a Centre (you), and it explains how the Caravan and Motorhome Club (us, we, the Club) will use your personal data during your membership of the Centre. Our Centres are part of the Club and are run on a voluntary basis by elected committees of Club members according to the Club’s Centre Rules. This means that the Club is the data controller of the personal data used to run each Centre. You can read more about Centres and find the Centre Rules here.

If you join a Centre, the Centre will collect the following personal data about you:

• Membership number
• Name
• Telephone number
• Email address
• Home address

Other personal data relevant to Centre activities, such as your vehicle registration number and photographs, may also be processed.

The Centre will use this personal data to administer and communicate with you about your membership of the Centre and about events and activities run by the Centre. The Centre will also use the personal data to enable you to take part in committee elections, including if you decide to stand for election yourself.

The Club’s legal basis for processing your personal data for these purposes is that the Club has a legitimate interest in operating the Centre and administering your membership of it and the processing is necessary to achieve these purposes.

The personal data used by the Centre is generally data that you give the Club when you become a member of the Club or renew your membership. Occasionally the Centre might ask you for other information where this is relevant to particular activities or events run by the Centre. If you prefer not to provide the information you may not be able to take part in those activities or events.

When the Centre uses your personal data the Centre committee members have access to that personal data solely for the purpose of running the Centre.

The Centre will only share your personal data with third parties where this is necessary for the purposes outlined above, for example if a third party supplier is involved in hosting an event for the Centre and needs your information so that you can attend the event. The Club may occasionally need to transfer your personal data outside the United Kingdom as described in Section 3.9 of the Club’s Privacy Policy.

Your personal data will only be retained for as long as necessary to carry out the purposes outlined above and the other purposes explained in this notice as described in Section 3.14 of the Club’s Privacy Policy.

You have rights to control how the Club uses your data, including the right to ask us to stop using your data under certain circumstances. You also have the right to complain if you think the Club has not used your personal data properly. Caravan and Motorhome Club Concert Band Addendum

If you participate in the Caravan and Motorhome Club’s Concert Band (Club Band) the Club will process your personal data in order to administer your participation in the Club Band and to put on performances. If you are a member of the Club Band and are under the age of 16 (those of compulsory school age, which continues until the last Friday in June if the individual will be 16 years old by the end of the summer holidays) then the Club will process your personal data in order to obtain a Body of Persons Approval (BOPA) licence. This licence is granted by local authorities or Brass Bands England and allows organisations to enable the participation of persons under 16 (compulsory school age) in performances without the need to apply for an individual licence for that person. To satisfy the requirements of the BOPA licence, we also process personal data to verify the suitability of individuals responsible for persons under the age of 16 (compulsory school age), which may include reviewing Disclosure and Barring Service (DBS) certificates and chaperone licences. The Club has a legal requirement to process this personal data when allowing persons under 16 (compulsory school age) to participate in performances.
